Wound Capture Pro Privacy Policy

Wound Capture Pro is a wound documentation and measurement application provided by VAERION Systems Inc ("VAERION") to healthcare organizations. It is distributed privately through Apple Business Manager and only works for organizations with an active VAERION license. This policy explains what the app processes and where that information goes.

The short version

• Wound Capture Pro is a clinical tool used by your healthcare organization's staff. Patient information handled by the app belongs to the healthcare organization (the covered entity), and VAERION processes it on the organization's behalf under a business associate agreement.
• Photos, measurements, and assessment details are stored encrypted on the device and are transmitted only to your organization's own VAERION tenant or the EHR endpoint your organization configured.
• The app contains no advertising, no analytics or tracking SDKs, and no third-party services, and VAERION does not sell or share this information for marketing.

1. Information the app processes

• Wound photographs and depth data captured by the clinician, and the measurements and assessment details derived from them (for example length, width, depth, area, tissue composition, exudate descriptors).
• Patient chart context mirrored from the organization's EHR so the assessment attaches to the right record: name, medical record number, date of birth, and encounter details.
• Clinician account information used to activate and sign in: work email address, name, and the organization the account belongs to.
• License and device information: device model, app version, and an app-generated installation identifier used so your organization's administrator can manage which devices are activated. This identifier is created by the app; the app does not read hardware serial numbers or advertising identifiers.

All image analysis and measurement runs on the device. Nothing is sent to cloud AI services.

2. Where information goes

Clinical data leaves the device only when it syncs to the destination your organization configured: the organization's own VAERION tenant, or the organization's EHR via its FHIR interface. Transmission is over TLS. License activation and periodic license checks contact VAERION's licensing service and carry only the account, license, and device information described above — never patient data or photographs.

3. Storage and security on the device

Records and photographs are encrypted at rest with AES-256; the encryption key is held in the device Keychain, restricted to that device, and excluded from backups. The app locks behind Face ID / Touch ID / passcode and re-locks after backgrounding. An audit log records access to records.

4. Retention and deletion

Information stored in the app remains on the device until deleted in the app or the app is removed. Information synced to your organization's tenant or EHR is retained under your organization's own policies and agreements. Deactivating a device stops all further sync; records already on the device remain encrypted there.

5. Your rights

Wound Capture Pro is provided through healthcare organizations. Patients who have questions about their information should contact the healthcare organization that provided their care; VAERION supports those requests through the organization under the applicable agreements. Clinicians with account questions should contact their organization administrator.

6. Children

Wound Capture Pro is a professional clinical tool and is not directed at children. Patient records may concern patients of any age under the care of the licensed organization.

7. Changes

We will post updates to this policy at this URL with a new effective date.
